Future controlled communications architecture

Urgent operational truth, with human-approved customer communication

Urgent Operations Alerts can temporarily correct routine answers during a disruption. Urgent Customer Notifications are a separate future workflow for approved WhatsApp or email communication to specifically affected customers.

Product architecture only. No messaging or mass-notification system is active.

Internal disruption source

Urgent Operations Alerts

An active approved alert temporarily takes precedence over relevant Business Knowledge, Live Operations Inventory, routine schedules, availability, and booking or viewing instructions.

  • Applies only to the correct client and affected operational context.
  • Must be created and approved by authorized business staff.
  • Expires, resolves, cancels, or is superseded without rewriting stable data.
  • May guide inbound answers but does not authorize outbound messages.

Future outbound action

Urgent Customer Notifications

A separately approved future workflow can inform affected customers by WhatsApp, email, or both after staff approve recipients, wording, channels, and the sending window.

  • The AI never independently mass-messages customers.
  • Only the approved affected customer group may receive the message.
  • Sending must occur through a confirmed backend workflow.
  • Success is claimed only after backend delivery confirmation.

Disruption examples

Relevant across industries

The alert must be specific, current, approved, and limited to the affected branch, property, service, appointment group, or operational area.

Fire or evacuation
Clinic, office, or branch closure
Major maintenance
Doctor or team unavailable
Appointment or meeting disruption
Property viewing cancellation
Parking, entrance, elevator, or road-access issue
Severe weather disruption

Required human approval

No autonomous notification decisions

01

Approve the alert

Authorized staff confirm the disruption, severity, affected location or service, and active time.

02

Approve the affected group

Staff select only the customers whose appointment, visit, meeting, booking, or viewing is affected.

03

Approve exact wording

The customer-facing message is reviewed and approved before any future sending workflow begins.

04

Approve channel and window

Staff explicitly choose WhatsApp, email, or both and define the permitted sending window.

05

Confirm delivery or failure

A future backend records delivery status and keeps controlled failures visible to authorized staff.

Delivery integrity

Failure must remain visible

A future system must track delivery status, show controlled failure categories to authorized staff, and never let the AI describe a failed or unconfirmed send as successful.

Privacy boundary

Only affected customers, only the intended client

No unrelated customer, tenant, business, staff member, public output, log, or unauthorized external tool may receive customer information.

Current boundary

Architecture explained, sending disabled

This page describes the approved product direction. WhatsApp, email, Meta, recipient selection, approval workflows, provider credentials, and notification sending remain future phases requiring separate implementation approval.
